Business Manager Report

 Important updates from the last month-

  • Tanya and I meet with a VOCA trainer. We were told our best option for billing is to bill April, May, and June all together, the first part of July. Tanya and I have begun that process so we will be able to quickly get that turned around. I don’t know the totals, but it should be a payment of $15,000-$18,000.

  • Tanya has now moved from billing monthly to weekly. She has also sat through 3 trainings to learn billing in our new system.

  • April’s VCSC invoice has been sent. There was some confusion as to when/where/how to bill the school crop. as there is no official documentation/agreement that I am aware of. I did have a lengthy conversation with Dr. Kirk, and I believe we should be able to get May and June’s invoices done and submitted next week.

  • We have not yet found out how to bill JDC. We have made several attempts to reach the contact person we were told about. Until we have more information we are at a standstill.

  • We are still on track for going live in the new EHR system as of July 1. Jennifer has been using the system for over a week now in an attempt to finetune the system before we turn everyone loose.

  • The accounting RFP has been sent out. Our hope is to have quotes by the next finance committee meeting.

  • There are two important changes coming to the website: 1. Board Portal (per Katha). 2. Patient Portal (per AdvancedMD).

  • Life-Skills billing is drastically down from where it should be. Christina and I have discussed setting up meetings with the appropriate individuals to hopefully get numbers up- as part of this, it has been brought to my attention that the information being given out by the courts is both incorrect and outdated (This is an area that should probably be prioritized as it is guaranteed cash payments but there are SO MANY things that need prioritized right now…)

  • Staff changes include: Debbie has submitted her two-week notice. Her last day at FSA will be July 6th. Charlie started 6/22 and has already proven to be a huge help! Anna Ellis (Intern) will be graduating in august. She has already started to receive job offers from other agencies (she is FANTASTIC so this isn’t surprising), but she has expressed interest in staying at FSA if that is an option. This is a conversation that we may want to have sooner rather than later.

  • There are still around 45-50 people waiting for services between our wait list and Dominique’s clients that we have not been able to reassign. The oldest per-intake on the wait list is from 3/2/2021

  • There are at least 100 other things being worked on or discussed- there are just the ones that seem the most important/pressing at the moment
